We have created a monitoring screen that updates in real-time with information from your PMS. The screen combines all the necessary information the housekeeping team needs to prioritize and execute their work in the most efficient way possible. We know that servicing early and late departures sold through any channel can significantly impact your daily operations. We designed this tool to set your housekeeping team up for success. The housekeeping monitoring screen provides the information your team will need to make real-time decisions and successfully service all arrivals and departures, including early arrivals and late departures.
The monitor screen will show you all arrival and departure information, break out early arrivals and late departures by time & room type, and show you the current housekeeping status of all rooms.
Answers to questions such as these will all be in one easy to access location:
- How many rooms in each room type will I need to clean today?
- How many early arrivals do I need to plan for this week? What time are the early arrivals expected to arrive? What rooms should I prioritize?
- Do I have enough predicted vacant rooms to accommodate my arrivals?
- What room numbers are currently vacant and will be needed for today?
How do I access the screen?
You can request access to the monitoring screen through your client success manager. Once you have been added to the distribution list, you will receive a daily link to access the monitoring screen each morning. To protect guest information and remain a password-free environment, we make each link valid for 24 hours. Each morning you will need to use the new link provided in your email to access the monitoring screen.
How often is the screen updated?
With the 2-way connection to the PMS, real-time updates are available for arrivals, departures, and room assignments. Each time you click on the access link to view the screen, you will be shown real-time data. If you are returning to an already opened screen, you will need to select the refresh button to update the data to real-time. The refresh button is in the top right corner of the screen.
How to filter the screen?
The top section of the report contains the filter options for the monitoring screen. Three radio buttons in the top left corner can be turned on or off to indicate which reservations you would like to display. If “unassigned” is selected, the screen will show all reservations regardless of room assignment status; we recommend that this is always left “on.” In the middle of the screen, you can filter by floor number, which will allow you to isolate specific areas of the hotel. The filter in the top right corner drives the date range displayed on the screen.
What information is displayed on the screen?
The middle section of the screen is information being pulled from the PMS and filtered based on your selected filters in the top banner. The screen will display either arrival information or departure information based on the chosen middle tab. Below is an overview of the data in each column.
Arrival tab
- Category: the room code, room type name, and the number of rooms in that room category
- Arriving: the number of remaining arrivals (both regular arrival time and early arrivals are included in this number)
- Early Arrivals: the number of early arrivals remaining
- To be vacant: the number of rooms that will be vacant today but are not yet vacant
- Vacant: the number of currently vacant rooms
- Vacant Alerts (red triangle): when the number of arrivals remaining is greater than the number of currently vacant rooms.
- Clean: the number of currently clean rooms (a room is considered clean when the housekeeping status is set to “clean” or “inspected”)
- Clean Alerts (red triangle): when remaining arrivals is greater than the number of currently clean rooms
- Arrival Times: There will be a column for each potential arrival time as sold via ROOMDEX (early arrival times and the standard arrival time). An additional column will contain any arrivals that occur even earlier. Each column will show the number of remaining arrivals by the guest’s arrival time.
Departure tab
- Category: the room code, room type name, and the number of rooms in that room category
- Departing: the number of remaining departures (both regular departure time and late departure times are included in this number)
- Late departures: the number of late departures remaining
- Dirty: the number of rooms that are currently vacant and in dirty housekeeping status
- Departing Times: There will be a column for each possible departure time as sold via ROOMDEX (late departure times and the standard departure time). An additional column will contain any departures that occur even later. Each column will show the number of remaining departures by the guests’ departure time.
You can drill down to the room number level in all categories by clicking on the numbers in the center panel. You can sort by any column in the drill-down screen by selecting the arrow next to a column header.
What is included in the summary?
The bottom section of the screen displays a summary of arrival and departure information for the selected date range. **Please note that housekeeping status (clean/dirty) will always be displayed as today’s real-time status even if future periods are selected.
- Arriving: the remaining total arrivals (both early and standard time)
- Early: the number of remaining early arrivals
- Clean: the number of vacant and clean rooms
- Dirty: the number of vacant and dirty rooms
- Departing: the number of remaining departures (both late and standard time)
- Late: the number of remaining late departures
